User Settings Permissions
Control which personal settings your users can customize on the Contracts.ai platform, and apply organization-wide defaults when customization is turned off.
User Settings Permissions let organization administrators decide which options appear on each user’s Settings page. When a permission is off, that setting is hidden from users and cannot be changed through the product UI or user settings API.
Use this panel when you want a consistent experience across your organization—for example, the same Quick Glance fields for everyone, a single UI language, or centralized control over Slack and notification setup.
Who can use this
- Organization administrators with access to Admin Settings
- Changes apply to all users in your organization
Where to find it
- Open Admin Settings.
- Go to the Organization tab.
- Open the User Settings Permissions card (button: Manage Permissions).
This opens the User Settings Permissions panel in the settings sidebar.
How it works
Each setting has an on/off toggle:

Toggles save immediately when you switch them.
When user customization is off and an organization default is available:
- Configure the default in the panel.
- Click Apply to all users.
- The update is queued and applied to every user in the organization (this runs as a background job and may take a short time for large orgs).
Note: Applying defaults overwrites the corresponding field on each user’s
UserSettingsrecord for everyone in the org. Plan changes accordingly, especially for Quick Glance field lists and UI language.
Permission options
The panel lists seven permissions, in this order:
Contract notifications
Allow users to create and manage contract notification rules.
When on, users can open Settings → Contract Notifications and create rules that alert them about contract events.
When off:
- The Contract Notifications card is hidden from Settings.
- Users cannot create, edit, or delete notification rules via the API.
Notifications can be delivered by email. If your organization uses Slack, delivery via Slack also depends on the Slack integration permission and whether Slack is connected.
There is no organization default editor for notifications—turning this off simply removes the capability.
Share chat templates
Allow users to share saved chat templates with teammates.
When on, users can share saved Ask/chat templates from Settings → Share Chat Template.
When off:
- That card is hidden.
- Users cannot share templates through the product.
There is no organization default for template sharing.
Slack integration
Allow users to connect and manage Slack integration.
When on, users see Settings → Slack and can connect or disconnect their workspace (subject to your org’s Slack app configuration).
When off:
- The Slack card is hidden from Settings.
- Users cannot connect or manage Slack from their personal settings.
Org-level Slack configuration (if any) is separate from this user-level permission.
Two-factor authentication
Allow users to manage their own 2FA devices from Settings.
When on, users can add or remove authenticator apps and passkeys under Settings → Two-Factor Authentication.
When off:
- The 2FA settings card is hidden.
- Users cannot manage their own 2FA devices from Settings.
Important: If your organization mandates 2FA under Admin → Authentication Options, users may still be required to complete 2FA at login even when this permission is off. Disabling this permission prevents self-service device management, not necessarily org-wide 2FA policy.
There is no organization default for 2FA device management.
Contract view preferences
Allow users to customize quick glance fields and contract view defaults.
When on, users can open Settings → Contract View Preferences and configure:
- Quick Glance — which standard and custom contract fields appear in the Quick Glance tab when opening a contract.
- Show contract when viewing contract details — whether the contract PDF opens automatically on the contract details page.
When off:
- The Contract View Preferences card is hidden from Settings.
- Users cannot change these values themselves.
Instead, administrators see organization default controls (see below).
Open contract PDF by default
This appears as a separate section directly below Contract view preferences and above Pinned views—but only when Contract view preferences customization is turned off.
Use it to set whether the contract PDF should open by default when users open a contract details page:
- On — PDF opens automatically.
- Off — PDF opens only when the user clicks View Contract.
Configure the toggle, then click Apply to all users. This is independent from the Quick Glance Apply to all users action.
Pinned views
Allow users to choose which contract table views appear in the sidebar.
When on, users can open Settings → Pinned Views and choose which saved contract table views are pinned in the Contract Views tab strip.
When off:
- The Pinned Views card is hidden.
- Users cannot change their pinned views.
There is no organization default editor for pinned views.
UI language
Allow users to change their preferred interface language.
When on, users see the UI Language card on Settings and can pick their interface language (English, French, Spanish, German, Italian, or Portuguese).
When off:
- The UI Language card is hidden.
- An Organization default section appears where you choose the default language and click Apply to all users.
Organization defaults (when customization is off)
When you turn off user customization for Contract view preferences or UI language, an Organization default block appears under that permission.
Default UI language
- Turn off UI language.
- Select the Default UI language.
- Click Apply to all users.
Supported languages: English, French, Spanish, German, Italian, Portuguese.
Default Quick Glance fields
- Turn off Contract view preferences.
- In the Organization default section, configure Quick glance fields:
- Use Add field… to add standard or custom contract fields (the dropdown is sorted alphabetically).
- Drag rows to set display order in the Quick Glance tab.
- Click the sort alphabetically icon (A→Z) next to the Quick glance fields heading to reorder selected fields by name.
- Click Apply to all users.
Quick Glance shows a dedicated tab before Overview on contract details, using the fields and order you configured.
An empty field list means Quick Glance is effectively disabled for users (no Quick Glance tab).
Default PDF behavior
- With Contract view preferences still off, use the Open contract PDF by default section below it.
- Set the toggle as needed.
- Click Apply to all users.
What users see on Settings
The main Settings page only shows cards the organization allows:

Change Password is not controlled here; it depends on whether password authentication is enabled for your organization under Authentication Options.
Typical admin workflows
Standardize Quick Glance for the whole org
- Turn off Contract view preferences.
- Add and order Quick Glance fields (drag or sort alphabetically).
- Apply to all users.
- Optionally set Open contract PDF by default and Apply to all users again.
Lock interface language
- Turn off UI language.
- Choose the default language.
- Apply to all users.
Prevent personal Slack connections
- Turn off Slack integration.
- Users no longer see Slack on Settings (manage org-level integrations separately if needed).
Allow personal preferences again
- Turn the relevant permission on.
- Users regain the Settings card and can customize their own values.
- Previously applied org defaults remain on user records until users change them.
Tips and limitations
- Defaults apply to all users in the organization, including admins, when you click Apply to all users.
- Apply actions are processed asynchronously; you should see a success message that the update was queued.
- Quick Glance supports both standard contract fields and custom fields defined under Admin → Custom Fields.
- Pinned views, notifications, Slack, 2FA self-service, and chat template sharing do not have org-wide default editors—only on/off control.
- Permissions are enforced in the UI and API; disabled settings return a permission error if accessed programmatically.

Summary
User Settings Permissions gives administrators fine-grained control over the personal Settings experience. Leave permissions on for flexibility, or turn them off and use Apply to all users to enforce consistent Quick Glance layouts, PDF behavior, and UI language across your organization.
